2018 ORPA Annual Conference

Thank you for registering to be an exhibitor at the 2017 ORPA Annual Conference.  We believe partnerships with the private sector are critical to creating a flourishing parks and recreation culture in Oregon.

Below is all the information you will need for exhibiting at the conference.  If you feel there is something missing from this list, please let us know by calling 503.534.5673 or emailing (Amanda Parsons). 


Lodging Information

The conference takes place at The Riverhouse on the Deschutes, 3075 N Hwy 97, Bend, OR 97703.  The room block at The Riverhouse is now full.  There may be rooms still available at their regular rate.

Registration Details

Please refer to the conference registration confirmation to ensure that you are accurately registered for all the things you need. Be sure to confirm the following information:

  • Electricity
  • Space for extra staff
  • Names of staff attending
  • Lunch orders for Tuesday lunch (included with your booth)


Shipping Information

The Convention Center can only accept shipments between 1-3 days prior to the event.  Exhibitors will be in charge of all shipping rates.  If you ship through FedEx you must call to schedule a pickup after the exhibit hall hours are over (Wednesday).  Use the following format for shipping:

Packages sent more than three (3) says prior to the event may be subject to a $15.00 per package per day charge.  Riverhouse on the Deschutes is not responsible for packages that are lost, stolen or damaged.


Booth Set-Up

Booth set up will begin at 9:00 AM on Monday, November 13th.  Set up must be complete by 3:00 PM.

Some vendors who have large displays may need more time for set up than others.  We recommend those vendors who do not need the full time to set up arrive later in the morning in order to prevent congestion.

The entrance to the exhibit hall can be accessed for off-load two ways:

  1. Elevator in Lobby: Use if booth set up does not involve a hand cart or other leverage device.  Roller bags and small pull wagons are OK.
  2. Drive up off-load area: Use if unloading truck or trailer of materials for booth set up.

Drive up off-load:

  • The driveway leading to the off-load area can only accommodate one car-width at a time.  The off-load area has a limited turn around space.  
  • A volunteer will be stationed at the entrance of the off-load area in order to regulate the number of cars entering the area and prevent vehicle congestion.  
  • Please off-load all booth materials first and then move vehicle to allow the next vendor to off-load.
  • Please be patient as you wait your turn.  We are all in this together!


Packing Up

Exhibitors are free to begin packing up their booths at 6:30 PM November 14th - NOT BEFORE!  This directly follows the silent auction and Exhibitor Showcase.


Awards Luncheon

Every year ORPA recognizes outstanding partners, professionals and projects in the field of parks and recreation.  This awards ceremony takes place on Tuesday, November 14th at 12:15 - 2:00 PM.  

Exhibitors are invited to join attendees during this awards lunch.  A lunch is provided for two people with each booth (unless additional staff were indicated during registration).  This is a great time to sit among attendees and develop relationships over lunch.  We encourage you to join us.  

Please make sure you selected a lunch in the registration process so one can be provided for you.

Our conference app is the best resource for attendees and exhibitors alike.  The app allows ORPA to push notifications of upcoming events to attendees during the conference.  It also allows attendees to make connections with each other and share contact information.  You can take advantage of this!

Company Information

Your company information is available for attendees to see.  Make an impact by having the correct information.

  1. Open the ORPA App and select the 2017 ORPA Annual Conference
  2. Click the "Exhibitors" button in the middle of the screen
  3. Find your company by scrolling or searching; click on your company name
  4. Verify all the information included is available and correct:
    1. Social media links
    2. Description
    3. Contact Info
    4. Logo
    5. Photos
    6. Documents: the app allows us to upload documents to your profile.  Please let us know if you have any brochures, or digital handouts you would like included.
  5. Email Amanda at for any changes or additions you would like to your profile


Connecting with Attendee

The best way to connect with an attendee at the conference is directly, and through the app.  You can establish strong connections and create leads with the app by sending a contact request!  

  1. From the homepage of the app, click the "Attendees" button
  2. Search for the attendee you are connecting with by last name, click on their name
  3. Under their profile picture, click the icon "Add Contact".  This will send the attendee a request to share their information with you.

We recommend you spend time in this feature and learn the nuances so that you can maximize your connections.

*ORPA will not be providing email lists of attendees to visitors this year.  Address contact lists are only available upon written request.*


Become a Member of ORPA

Save $200! - Any exhibitor who becomes a new commercial member BEFORE the conference will receive $100 off their booth price this year.  PLUS - members save $100 on next year's booth.
